WebDaVinci Ops

Privacy Policy

Last updated: October 26, 2026

WebDaVinci, Inc. ("WebDaVinci," "we," or "us") operates Ops at siteadmintool.com. This policy describes how Ops handles information about account holders, workspace members, and visitors using its public features, including meeting scheduling. A customer workspace may also have its own privacy practices for information it collects through Ops.

Information we collect

Google Calendar data

What the Google connection does: If you authorize Google Calendar, Ops uses calendar access to check busy times, verify the connected account, and, when selected as a meeting organizer, create, look up, and cancel calendar events with video links and attendee invitations. The connection is optional unless a workspace uses Google-based scheduling.

Ops requests Google Calendar read access for calendar availability and event access for organizing meetings, plus basic account identification needed to associate the connection with the right user. For availability, we use free/busy results to offer bookable times; we do not publish the titles or descriptions of your unrelated calendar events to prospective guests. A meeting organizer's event and invitee details are shared with Google and the invited attendees to schedule, update, or cancel the meeting.

We retain connection identifiers and encrypted authorization tokens while the connection is active, and retain appointment records and event references as needed for scheduling, troubleshooting, and workspace records. Disconnecting or revoking Google access stops future access through that connection but does not automatically delete meeting invitations already sent or historical appointment records. To request removal of information held in Ops, contact us using the address below; you may also revoke the app's access from your Google Account's third-party connections settings.

We do not sell Google user data, use it for advertising, or use it to train generalized AI models. We limit human access to connected-calendar data to support, security, legal, and other circumstances permitted by the Google API Services User Data Policy. Our use and transfer of information received from Google APIs adhere to that policy, including its Limited Use requirements.

Ops does not currently record Google Meet calls, retrieve transcripts, or fetch AI meeting notes through this calendar connection. If meeting participants enable those features directly in Google Meet, Google handles the resulting artifacts under the organizer's Google account and Google's policies.

How we use information

We use information to provide and secure Ops; operate tenant workspaces; deliver scheduling, invitations, forms, and other requested features; maintain connected services; respond to support requests; and diagnose and improve reliability. We may send service and security communications. We do not use your connected Google Calendar data for unrelated Ops features without additional disclosure and authorization.

When information is shared

Workspace administrators and authorized members may access information within their workspace. Where a customer uses Ops to collect visitor or appointment data, that workspace receives the information needed to provide its service. We also share data with service providers that operate hosting, delivery, and integrations; with connected providers such as Google or Microsoft when you use those features; with meeting attendees as part of invitations; or when needed for lawful requests, security, or a business transfer subject to applicable requirements. We do not sell personal information.

Security and retention

We use access controls, encrypted connections, and encryption for stored integration credentials. No service can guarantee absolute security. Data may remain while an account or workspace uses Ops and afterward as needed for operations, backups, disputes, security, and legal obligations. Retention varies by data type and workspace settings; contact us for a specific deletion request rather than assuming that disconnecting a service erases records or provider-side copies.

Cookies, analytics, and external services

Ops uses session cookies for sign-in and service operation. We may use analytics to understand website usage. Workspaces may configure their own integrations or tracking for their sites, subject to their own disclosures. Third-party services, including Google and Microsoft, have separate terms and privacy policies.

Your choices and contact

You can ask to access, correct, export, or delete personal information we hold, subject to applicable law and the rights of the workspace that provided it. You can disconnect an integration in Ops or revoke its permission with the provider. For requests involving a customer's workspace data, we may refer you to that workspace's administrator.

For privacy questions and requests, contact support@webdavinci.com. We may update this policy as the service changes; the date above identifies the current version.
